Onsite Coordinator Position: Gig WorkOur organization is looking for an onsite wedding coordinator for our small, intimate weddings (30 people or less guests). This is part-time gig work (you’d be a 1099 contractor - not an employee). We are looking for somebody that has event-wedding industry experience. You would be involved with pickup of cake and flowers (in the Arvada area), delivery of florals/cake, coordinating onsite with vendors, implementing scheduled wedding-day tasks, playing music from your SmartPhone on a Bluetooth speaker, etc. There is very little planning involved (we do that), but more managing the wedding day to ensure that the plans we’ve established are implemented well and the clients are pleased with their wedding day. Our weddings are mostly located in Estes Park (RockyMountain National Park), Grand Lake, Summit County (Breckenridge/Keystone), Vail, Beaver Creek, and sometimes Boulder, Littleton, and Colorado Springs. Event times (client-facing) average 3.5 hours.
This gig-work opportunity is best for individuals that are available to work any day of the week, and mostly on Fridays, Saturdays and/or Sundays, though we often. Our busiest season is from June through October; there may be very little work the other months. The onsite coordination face-too-face time averages 3.5 hours (3 to 5 hours); transportation to/from the destination is usually 4-ish hours (depending on where you live and the wedding destination, totaling an eight-hour day (give or take). Though we cannot guarantee a certain number of weddings (it is dependent on bookings); a gig-coordinator should be able to work around 15 or more weddings a year. Training: (depending on industry experience) you may shadow at two weddings, and then lead the third. This is as if it is an internship (pay is $200/event). If you are wedding photographer or wedding florist, training may not be necessary (video resources provided).
Post training: you are ready to start coordinating on your own! Average pay is around $400 to $475 +/- event depending on time and travel from the Front Range

Job description
- Quick responses to text or email messages, especially regarding your availability to pickup gig weddings
- Pre-wedding studying of our wedding day itinerary that we send to couples and vendor, usually emailed the week prior to the wedding
- Text client the day before or morning of the wedding to say "hello"
- Ability to create a short playlist, typically from iTunes, prior to the event
- Assisting on the wedding day with various needs of the brides/grooms, their vendors, and their guests
- Pickup of flowers and cake (in the Arvada area) and delivery and setup of flowers and cake
- Implementing the wedding day activities as identified on the timeline: dressing of the couple, first looks, transportation (usually caravan of cars) to the wedding site, minimal setup of the wedding site, synchronizing with the officiant, coordinating the processional and recessional with music, post-wedding photos, assisting with guests and the couple to get to the restaurant (or vacation home), and cutting of the cake. Our service usually concludes after the cutting of the cake and prior to the guests being seated for dinner; mostly we do not stay for dinner.
- Initiative: ability to handle decisions along with our photographer of unforeseen events that might happen (e.g. a thunderstorm moving through the area, or the bride’s dress gets stained)
- A realization that weddings are one of the most special occasions in peoples lives and each client has their own idea of what they want their day to be like; it our job to implement their vision to the best of our abilities. Always validate the couple and their choices, style, vision and priories..
Job requirements
- You are the face of our business to the client. It is essential that our coordinators have have excellent people skills, can communicate well and happily, are customer-focused, personable, and flexible.
- The attitude to “do what it takes” and service with a smile (for example: searching under a deck for a wedding band the ring bearer has dropped).
- Experience in the event-service industry with either wedding photography, wedding florals/decor, or catering.
- Ability to take initiative and make informed decisions, synchronize with our onsite photographer and other vendors.
- Must have reliable transportation with heat and air conditioning) to-from mountain destinations (Estes Park, Grand Lake, Summit County, Eagle County, Southern areas) in all seasons and types of weather conditions
- Must have a SmartPhone capable of playing music on a Bluetooth Speaker and searching weather radar
- Must be physically capable of pulling a garden wagon with supplies, and walking/hiking various terrains to get to wedding sites (nothing overly strenuous). At times, some weddings will be on mountain peaks at high elevation.
- Professional appearance and appropriate wedding-service attire. On the coordination day, no large visible tattoos, no face-piercings/facial tattoos or gauges; limited ear piercings.

- (after successful training) Wedding day essentials starter kit: a garden wagon, Bluetooth speaker, onsite emergency kit, and various other onsite supplies. As a contractor, you must provide any replenishing of supplies.
- Training at three events before you coordinate on your own (this is dependent on wedding-industry experience)
